Please read these terms carefully before booking your transportation service with Kaiya.
1. Service Agreement
By booking a transportation service with Kaiya, Inc., you agree to these terms and conditions. Kaiya provides private transportation services including airport transfers, hotel transfers, point-to-point transportation, hourly charter services, and day trips throughout Hokkaido and the Tokyo area.
2. Booking and Confirmation
All bookings must be made in advance through our official channels or by contacting us directly. A booking is confirmed once you receive written confirmation from Kaiya. We recommend confirming your booking at least 24 hours before your scheduled service.
For airport pickups, please provide accurate flight information and contact details to ensure reliable service.
3. Pricing and Payment
Pricing is provided at the time of booking and is based on the selected service, distance, and time requirements. All prices are in Japanese Yen unless otherwise specified. Payment must be made according to the terms provided in your booking confirmation.
Transparent pricing is a core commitment of Kaiya. Any additional charges will be communicated before your service begins.
4. Cancellation and Refunds
Cancellations must be made at least 24 hours before your scheduled service for a full refund. Cancellations made less than 24 hours before service may incur a cancellation fee. No-shows will be charged the full booking amount.
In case of service delays or issues attributable to Kaiya, we will work with you to resolve the matter fairly. Please contact us immediately if you experience any issues.
5. Passenger Responsibilities
Passengers are responsible for:
- Providing accurate and complete information at the time of booking
- Being ready at the agreed pickup location at the scheduled time
- Treating our vehicles and drivers with respect
- Following all safety instructions provided by our drivers
- Being respectful of our no-smoking and substance-free vehicle policy
Passengers are liable for any damage to the vehicle caused by their actions during the service.
6. Special Requests and Accommodations
Child car seats are available free of charge if requested in advance during booking. Please provide details of any special requirements, accessibility needs, or additional services at the time of booking. Kaiya will make every effort to accommodate reasonable requests.
7. Liability and Insurance
Kaiya is fully insured and maintains comprehensive coverage for all vehicles. Our drivers are professional and trained to the highest safety standards. However, Kaiya is not responsible for:
- Delays caused by traffic, weather, or circumstances beyond our control
- Loss or damage to personal belongings left in the vehicle
- Injuries resulting from passenger non-compliance with safety instructions
8. Changes and Delays
We understand that schedules can change. If you need to modify your booking, please contact us as soon as possible. Waiting time for airport pickups is typically 30 minutes from your specified time. Additional waiting time will be charged at our standard hourly rate.
In case of significant delays beyond our control, we will communicate with you and work to minimize any inconvenience.

Kaiya reserves the right to update these terms and conditions at any time. Changes will be posted on this page with an updated date. Your continued use of our services following the posting of changes constitutes your acceptance of those changes.
These terms and conditions are governed by the laws of Japan. By using Kaiya's services, you agree to the jurisdiction of Japanese courts.
